A collection of procedures and policies for Alkek Staff who teach instruction sessions.

Research Consultations Workflow

Librarian responsible for allocating consultations

  • Check the "Alkek Library Reference" Outlook shared folder daily
  • Note the Subject or Department and forward to the appropriate subject librarian.
    • Double click on a request in the mailbox and change the Subject line of the email to reflect the Student Name and librarian:
      • Research Consultation: Student Name/Librarian Initials
  • Indicate in “Alkek Library Reference” Outlook shared folder that appointment has been allocated:
    • Select Categorize (in Home banner) and blue for “Allocated” (Figure 1)

Once you have been allocated a consultation request:

  • Contact Student and arrange time/place (ex: ALK350 or Zoom)
  • Indicate in “Alkek Library Reference” Outlook shared folder that appointment has been scheduled:
    • Select Categorize (in Home banner) and select red for “Confirmed & Scheduled” (Figure 1)
  • Open Instruction Calendar and enter research consultation. Also color code the meeting as Teal for Individual (Figure 2)
    • Subject line: 11:00/Student Name/Librarian Initials (Time/Student Name/Your initials)
    • Include Location in location field (ex: ALK350 or Zoom)
  • Add yourself to meeting request email, and accept it so it appears in your own calendar.
    (Some librarians send the meeting request from their own calendar and instead add libraryinstruction@txstate.edu email)

  1. The easiest way to open a form to close out the consultation request is to use the "Edit" link on the submitted form to go directly to the request.
  2. You can also log into https://txstate.libinsight.com/admin/home
  3. In the Shortcuts box, select "Research Consultation" in the "Analyze Data in" pull-down.
  4. On the next screen that display, click "Generate Report" to locate the correct record from a list of all requests. The full list can be filtered at the top by using either the "Entered by" or "Add Additional Report Filter" pull-down.
