Librarian responsible for allocating consultations
- Check the "Alkek Library Reference" Outlook shared folder daily
- Note the Subject or Department and forward to the appropriate subject librarian.
- Double click on a request in the mailbox and change the Subject line of the email to reflect the Student Name and librarian:
- Research Consultation: Student Name/Librarian Initials
- Indicate in “Alkek Library Reference” Outlook shared folder that appointment has been allocated:
- Select Categorize (in Home banner) and blue for “Allocated” (Figure 1)
Once you have been allocated a consultation request:
- Contact Student and arrange time/place (ex: ALK350 or Zoom)
- Indicate in “Alkek Library Reference” Outlook shared folder that appointment has been scheduled:
- Select Categorize (in Home banner) and select red for “Confirmed & Scheduled” (Figure 1)
- Open Instruction Calendar and enter research consultation. Also color code the meeting as Teal for Individual (Figure 2)
- Subject line: 11:00/Student Name/Librarian Initials (Time/Student Name/Your initials)
- Include Location in location field (ex: ALK350 or Zoom)
- Add yourself to meeting request email, and accept it so it appears in your own calendar.
(Some librarians send the meeting request from their own calendar and instead add libraryinstruction@txstate.edu email)
