Proper preparation before submitting your thesis, dissertation, or capstone project will help you avoid delays and ensure a smooth review and approval process. Follow the steps below to prepare your document and gather the necessary information for your Vireo submission.

Document Formatting Guidelines

Before submitting, ensure your document meets the required formatting standards set by your college. Proper formatting is critical for acceptance and long-term preservation in the university’s digital repository.

  • Graduate College (ETDs):

    • Follow the Graduate College’s official formatting guidelines for page layout, citation style, table of contents, and structural elements.

    • Review any specific formatting expectations provided by the Honors College or your faculty mentor.

Tip: Convert your final document to PDF to preserve formatting before uploading.

Accessibility Considerations

To ensure your work is accessible to a wide audience, including individuals using assistive technologies, please review the following best practices:

  • Use clear heading structures in your document (e.g., Heading 1, Heading 2) to facilitate navigation.

  • Provide alternative text descriptions for images, charts, and figures.

  • Ensure tables are formatted properly with header rows identified.

  • Use sufficient color contrast and avoid conveying meaning through color alone.

  • If your submission includes multimedia (audio or video), provide captions, transcripts, or audio descriptions as appropriate.

Prepare the following information in advance to streamline the Vireo 4 submission process:

  • Title of Your Work (Use Title Case; avoid ALL CAPS)

  • Abstract (Typically 250–500 words)

  • Keywords (Relevant terms separated by commas)

  • Committee Chair(s) or Capstone Supervisor(s)

  • Email for primary advisor contact

  • Committee Members or Second Readers Information

  • Degree Information (Program, Department, Graduation Term)

  • Embargo (None is the default; or select an embargo option)

Consider an embargo if you plan to publish your work in a journal or other venue before public release (or if it contains sensitive information or pending intellectual property).

Important Note on Embargoes:

Even if you select an embargo, the metadata for your work—including the title, author, abstract, and keywords—will be publicly available in the university’s digital repository. Only the full-text document (PDF) will remain inaccessible until the embargo period expires.

Copyright and Licensing Considerations

  • You retain the copyright to your work unless you choose to assign it or apply a license.

  • Consider applying a Creative Commons license if you want to specify how others may use your work.

  • Ensure all third-party content (images, charts, datasets, etc.) used in your work has appropriate permissions or qualifies under fair use.

Special Considerations for Multimedia (Audio/Video):

  • Obtain written permission for any copyrighted music, images, or videos included in your work.

  • If individuals (e.g., interview participants or performers) appear in your audio or video content, secure appropriate consent and release forms.

  • Provide accessible versions of multimedia content, such as captions for videos and transcripts for audio files.
